Besides this site, I use excel spread sheets for my wantlist sets and player collections. Basically, I have every set ever issued that is known in several spread sheets (one for every company and a miscellaneous one for the oddball sets). When I get a card from the set, I expand the spreadsheet so that I can have every # of every missing card in the set. Then, as I getmorecards, I delete the #s I have. Slowly the block of #s shrinks. When it is down to around 50 missing, I then write out every player's name of the cards missing. This helps finding the stars' cards when in shops. The header line of each set is like this "1987 Topps (792 167/792 Binder", the 167/792 meaning that I am missing 167 cards in the set. Once the set is complete, I delete the last of the # boxes and write "Complete: 1" The row on the spreadsheet would look like this "1987 Topps (792) Complete: 1 Binder" This tells me that I have 1 set of 1987 Topps and that it can be found in a binder. If I have more than one set, I also show the location of the other sets.
Specific to your question, if a card really needs tobe replaced (I am much like v3 in that my tolerances are great), I gray the number box of a card that I have but should be replaced.
