I'm not sure if we are saying the same thing or not, Tony, but to use your example:
"(using the last name of "Max" ) the overall serial number would be SN3.. but M = 1/3, A= 2/3 and X=3/3.."
This is a case where the card should get one entry in the database, it is SN3, and each card happens to have a swatch with a different letter on it. No different that when a MEM card with a large print run has some individual cards with one color showing, some have two and some have three.
Now, if the cards are SN3, and the "M" card has #1/3, #2/3 & #3/3, AND the "A" card has #1/3, #2/3 & #3/3, AND the "X" card has #1/3, #2/3 & #3/3, then each letter card should have its own listing.

@Lea.. yes.. agreed..i understand your point on the multiple numbering. i was disclaiming on the fact of multiple letters.. like if there were 4 jerseys cut up the "M" would either be stamped as a "1 of 1" or "1 of 3" ... each 4 times.( M =1 of 1, 1 of 1 ,1 of 1, 1 of 1 : or : M 1 of 3, 1 of 1 of 3, 1 of 3, 1 of 3) all being the same. whereas in some cases i think like this one the SN was a much larger number to cover the printrun on it. i think i seen the mfr numbering 3 or 4 different ways .. either the case.. like i mentioned before.. clean , neat, identifiable and understandable. A couple of the Topps or Leaf sets has a Home and Away set, so they're defined in there

It's like the card manufacturers don't want to account for the eccentricities of us extreme collectors when they come up with sets like this. They just want to make cards for sane collectors to enjoy. (That was directed at myself, not you guys. Don't be offended.)

I'm going to reevaluate how I collect after the new year. It's just getting way too expensive for the new stuff. Sometimes I just want to buy a pack, not a whole box or even blaster.

So what's going to be the best way to correct the CL? Should I report it to Admin so he can then delete the CL up now and I could then upload a new one?

after I update the CL in excel and have it all ready.. I email admin and let them know i which set i have updated and they either answer with me sending them back the file or uploading back to where it is. either case, let them know you have the updated file ready to go.

That CL is completely screwed up! Each letter should be listed separately with Note 1 having the Letter and SN listed. It is similar to this set I fixed several months ago: http://www.tradingcarddb.com/Subsets.cfm/sid/101011/2015-Press-Pass-Cup-Chase---Burning-Rubber-Letterman-Edition The only difference b/t the two sets is the racing cards were actually 1/1's, but not numbered that way. There was only one card of each letter and the serial number told which card it was in the word GOODYEAR. An MLB example is 2009 UD Icons Immortal Lettermen. http://www.tradingcarddb.com/Subsets.cfm/sid/25241?PageIndex=1 Before posting this reply, I decided to see how that set is listed. I fixed JUST the Ozzie Smith cards to see what everyone thinks of the way I like to see these cards listed as a checklist, plus added scans of my 2 cards. There are 2 Z's and 2 I's in his name, but no way to tell the difference b/t the cards. The backs of every card for one player are exactly the same. The only difference on the front's are the actual SN and the letter in the window. As long as the word "Letter" is added to the Glossary for each letter of each player, I think this is the most logical way to list them. I can technically add my scan of the "I" card for both, but I didn't want to do that. What does everyone else think?

I also fixed the 2009 UD Icons IL CL by adding the prefix to the numbers and adding MEM to the notes.

Hey Adam-
The Ozzie Smith example looks good, assuming that there are actually 80 total "Z"s and 80 total "I"s. Although, if you can't tell Z#1 from Z#2, I could be swayed by an argument for there only needing to be one listing for the Z's. Ditto for the I's. A note to the effect of "MEM, SN40, PR80" might even be appropriate.
I disagree with the way the Burning Rubber Letterman set is listed. This set is not made the same way as the usual Spellbound set. If Press Pass had intended for them to be eight 1/1s, they would have numbered them that way. Each driver has a Burning Rubber Letterman card that is SN8. Each swatch happens to display a different letter, but that does not make it a separate card. The way this set is checklisted now is akin to taking any memorabilia set, making duplicate entries for each individual serial number in the run for each card, and then noting if the swatch is single color, two color, three color, etc.

I wonder if this set would fall under the same system of multiple cards needing to be listed? The letterman patches are only for the rookie cards for this set and other different years for this named set?
