A group of site members came together and put together a document detailing the rules and guidelines for notes and glossary entries. They fleshed out the previous rules and compiled all of the best practices discussed in the forums to arrive at this document which is now posted in the FAQ area:

so on guideline 4A player names IE: J O N E S.. we're saying the Note1 should read: VAR and NOTE2: VAR: J and because this is a piece of uniform we're not using NOTE1: MEM, SNxx and NOTE2: VAR: J? or are we saying NOTE1 will be MEM, VAR, SNxx ..
to coinicide w/ that.. what about the card# to go with it. there have been instances where people have labeled the card# with the card letter and then linking the card to the player, where it should be the actual card# and the letter variation in note2 as mentioned.

There's a lot of info here...very well done. I hope this helps.
I found one tiny error: 10C, the printing plate parallel is referred to as a subset.
It appears that we collectively no longer want "CAR" as a note, thus automatically linking to a driver's PID...When Admin approved that to me it made checklist entry much easier.
The Exclusive notes are not showing for me.

From my understanding, card number should be whatever is on the card. By using "VAR: [explanation]" in Note2, it opens up the additional numbering field, in which case, I guess we could use the swatch letter there (Admin may need to clear that portion up). So, using 3J, 3O, etc. in the number field alone is incorrect, using 3, 3, etc. is correct. Putting the J, O, etc. in the additional field may be appropriate, if nor the old system of a, b, c, etc is definitely ok.
MEM would still be used. If it's truly MEM from a jersey, and not this manufactured stuff. That isn't MEM. SN## still gets used.
For the example you give, Note would be "MEM, SN##, VAR" and Note2 would be "VAR: Swatch is letter J" (or something explaining how it's a variation or how it differs from the other cards of that same number).
Additionally, and I don't remember if this was in the PDF, Admin has also requested that when it makes sense, to have the note entires in alpha order - "AU, MEM, SN##". Except if there is an error/corrected version of something like that, so the entire set would remain "AU, MEM, SN##" and the error would be "AU, MEM, SN##, ERR" (with the Note2 field "ERR: [explanation]").
Did that explain it well enough?

agree on the card #, i'm not fond of the idea using the swatch letter as part of the card#.. this i believe will take it out of the search criteria. the card# should be the actual number on the card. The one thing that does worry me though is the amount of characters in the NOTE1 space. so if there is a "AU, MEM, SNXXX, VAR, EXCH" (or VAR, ERR).. i dont think there is enough character space to fit all.
at some point, one of those designations would have to dropped. I think the VAR should just be in note2 field.. so for a card# for Casey Jones,, IE:
card- L-CJ or (#3 however labeled) NOTE1: AU, MEM, SNXXX ; NOTE2: VAR: Letter J..
card# L-CJ . NOTE1: AU, MEM, SNXXX ; NOTE2: VAR: Letter O etc etc for each following (card number stays as is)
The VAR could be dropped. i think in this case although it is a variation its different from a person wearing a Home jsy vice an away jsy or facing right vice facing left..

Actually I said to NOT use 3J or 3O, or 3N in the number field alone, but use "3" as the number. When "VAR:" is in Note2, it opens up the additional field for numbers (where we usually use a or b or c), and I suggested that maybe (with Admin's approval) we could put the J, O, N, etc. in that field - which in NOT part of the search criteria.
As for the amount of characters in the Note field, yes, that is a concern, and there have been some cases where I wasn't able to include everything so I dropped the subset notation (and put something in the release notes or trivia for that set). If we are finding that there is a lot of call for expanding the Note field, we could always bring it to Admin's attention and see what can be done to workaround it for certain sets. I know from previous discussions with Admin that there are specific reeason why the field remains at a low number of characters.

I can't open "THE List" because it is .xlsx. I can only open .xls documents.
