The only lists of my cards that I personally make are number-only lists for my personal team and athlete collections. I just keep a hand-written count of how many cards I have of that person and/or team. I update the lists every time I receive new cards and/or trade away duplicates. They are detailed as to how many are in albums, what is in cases and what is in sets. The larger person collections (such as the ones in my sig.) also tell me how many dupes I have to trade. In many cases, the lists break down by year or a group of years.
All my cards that are listed on TCDB and Beckett are my digital list. Neither will ever match my hand-written lists for different reasons. Beckett doesn't list all of the cards I have - period. TCDB only counts ONE KEEP for each person or team. If I have a complete set of something, I also want an extra copy for each person or team in that set that I collect and the same for multi-person cards. TCDB does not count those in my total collection for that person/team and also doesn't count my traders of that person/team. I'm fine with it not counting the traders though
Here's an interesting stat that I just worked up the past few days. My Jimmie Johnson NASCAR collection hit exactly 1500 total cards Monday afternoon by my personal count (a total recount was done in January and all new cards since then were added as they came in). Over the weekend, I did the count to see how many dupes and intentional dupes I had listed on Beckett to see how many I need to get to 1500 different JJ cards. The count was 46 dupes and 23 intentional dupes. That means that I should have 1431 different cards of him. Beckett shows that I have 1443 Keeps (11 less than it should) and 1479 total cards (21 less than it should). I know those missing cards are from sets they don't list. TCDB shows that I have 1405 cards. I have no idea why it is showing less different cards than I have. Maybe I have more dupes of the sets not listed on Beckett than I thought. That seems to be the logical reason for the difference. But now I have to figure out exactly why the numbers are different.
